Garage management software for a small garage: where to start

The cheapest system is not the one with the lowest monthly figure. It is the one your front desk will actually keep up to date.
At two bays, the shortlist is short
Of the seven products compared here, the ones that publish a price a single-site garage can commit to without a call are Workauto at £30 a month or £300 a year, Garage Software Solutions from £49.99 a month, Motasoft from £65 a month, and Garage Hive from £145 a month. All four state either no contract or a one-month rolling term, and Workauto and Garage Hive both offer a free trial. That is unusual candour in this market and it makes the first decision cheap to reverse.
What actually matters at that size
- The diary. If the diary is worse than the paper one on the wall, the system dies in a fortnight. Test it on a Monday morning with a double-booked ramp, not in a demo.
- Reminders that fire without you. The whole return on a small garage system is repeat MOT work. Check the reminders run on a schedule rather than needing somebody to press a button.
- Invoices your accountant accepts. Either a built-in ledger (MAM Autowork Online and Garage Hive both include accounting) or an export to Sage, Xero or QuickBooks, which Motasoft, TechMan and Garage Hive all name.
- One screen for the job. Vehicle, customer, history and parts in one place. Everything else on a feature list is noise until that works.
- Getting out. Ask what an export looks like before you put five years of history in, not after.
You do not need a system to be legal
Nothing in MOT law requires garage management software. The test result goes into DVSA's MOT testing service, which is DVSA's own system, and the slots you buy sit in your DVSA account. Software is a commercial choice about admin time and repeat bookings, not a compliance requirement. If somebody sells you a system on the basis that DVSA expects it, ask them which DVSA document says so.
What to do in the first fortnight
- Take the free trials that exist rather than the demos. Workauto states a 14-day trial with no card details; Garage Hive offers a trial alongside its demo.
- Load twenty real customers and one real week of work, not the sample data. A system that is pleasant with six records can be unusable with six thousand.
- Send yourself a reminder and an invoice, and look at them on a phone. That is how your customer sees them.
- Price the messages. Multiply your monthly MOT count by the SMS rate and add it to the subscription before you compare two suppliers.
- Ask each supplier for the migration scope in writing: what comes across, what does not, and who does the work.
